What is included in a demo?
When you book a demo of the CitizenOne case management system, you get much more than a quick run-through of the features. You get a thorough, personal and practical introduction to the whole system, tailored to your specific needs and daily workflows. Whether you run a residential service, a crisis centre, a treatment service or another type of social care service, we build the demo around your needs.
A demo can be held either online via video call or as an in-person presentation at your premises, whichever suits you best. Both formats leave plenty of room for questions along the way. We recommend that administrators and decision-makers take part in the demo to get a clear picture of how the system is structured and what it can do. That way, we make sure everyone gets the full overview.
A complete walkthrough of the case management system
During the demo we go through the entire case management system step by step. We usually start by showing how the system works in day-to-day practice around the person you support. We start with what you already know: the person's core details, journal notes, development plans, incidents and much more. We show how everything is structured logically and in a user-friendly way, so staff can quickly find what they need and document when it makes sense, without it feeling like an administrative burden.
We emphasise that documentation should not just be something to get through, but something that supports your professional work. That is why we go through how information about each person is presented and organised, and how staff can work with goals and support interventions and follow up on them over time.
Integrations and automated features
An important part of the demo is about how everything fits together. The case management system brings a range of features together directly in the system, which means you avoid double entry and manual processes. We demonstrate, for example, how medication information is recorded for each person, so staff can quickly get an overview of prescribed medication and the system can be used for safe medication management and recording.
We can also demonstrate how the case management system handles documentation, reminders and notifications, so nothing is forgotten on a busy day. We look at the system's messaging feature, document feature and internal communication, and how these strengthen knowledge sharing and collaboration across staff and departments.
Settings and administrator features
A demo is not only for frontline staff, but also for the people who will administer the case management system day to day. That is why we also dedicate part of the walkthrough to showing what you can do as an administrator or manager. You will see:
- How to create and edit users and access levels
- How to change templates, fields and structures so they match your workflows
- How to set up departments and manage licences for colleagues.
- How to change and adjust colleagues' access to specific features relating to the people you support.
Flexibility and adaptation to your needs
An important aspect of the demo is that it is not a one-size-fits-all presentation. It is shaped around your needs. That is why we usually start by asking a few questions about your organisation, your current system (if you have one) and which features matter most to you.
We can focus on the areas that are most relevant, for example:
- Documentation in residential services
- Security and GDPR
- Medication management
- Structuring plans and goals
We also look at how CitizenOne supports different user groups. For example, if you have temporary staff or external partners who need limited access to the system.
Participation and questions
Throughout the demo you can ask questions. We meet you on your own terms and make sure all information is explained in a clear and relevant way. We take the time to make sure every participant understands what we go through, and we adjust the pace so no one is left behind.
We recommend that all relevant key people take part. That could be managers, practice coordinators and, if relevant, finance or IT leads. The more perspectives in the room, the easier it is for you to assess how CitizenOne fits into your working day.
What happens after the demo?
After the demo you receive a short summary of what we covered, including the features you found relevant and the ones you had particular wishes or needs around. This gives you a complete overview of what CitizenOne can offer your organisation and makes it easy to decide on the next steps.
As a natural follow-on from the demo, we offer you access to a test version of the system, so you can try out the features in practice yourself. This lets you "work" in the system and get a feel for how it fits into your day. For example, you can try creating people you support, writing journal notes, setting goals and documenting incidents, so you get a realistic picture of how CitizenOne works in practice.
We are of course available for further advice and dialogue if you would like help assessing how the system can best be implemented in your organisation. Our team can help with everything from technical setup to advice on workflows and user roles. We help build confidence in the decision-making process and make sure both management and staff feel well prepared.
If you decide to go ahead and implement CitizenOne, we provide a structured onboarding that guides you safely through the whole process. We plan the onboarding in close collaboration with you, taking into account your organisation, existing workflows and any deadlines.
We also offer help with data transfer from your current case management system. We assist with structuring, importing and validating data, so the transition is as smooth and secure as possible. Our goal is to make sure nothing is lost and that you can quickly and confidently start using CitizenOne day to day.
In short: we do not leave you on your own after the demo. We are with you all the way and make sure the move to CitizenOne is a good, professional experience.
