Implementation
How you get across
Data review, export, import, setup and staff training. You can order the migration without having bought anything first.
The process
Seven steps, in the order they happen
Our implementation team plans the switch together with you. How long it takes depends on the volume of data, and that is agreed in the first step.
01
Clarify your needs
What you use today, what needs to come across and what can be left behind. This is where the scope of the migration becomes clear.
02
Book a demo
You see the system on your own workflows, so the decision is made on something you have seen rather than on a description.
03
Map the data
Which fields in the old system correspond to which in CitizenOne. This is the part that decides whether the history comes across in a form you can use.
04
Export
Data is extracted from your current system. What is possible depends on what the supplier makes available.
05
Import
Data is loaded into CitizenOne over encrypted connections, and you check the result before it becomes everyday work.
06
Onboard
Staff are trained in the system, online or at your premises. The courses are a hands-on workshop where they work in it themselves.
07
Go live
You work in CitizenOne. The old system can be switched off once you are confident the history is where it needs to be.
Your data
What can come with you
The history is what a migration stands or falls on. Here is what can be moved, and which formats we can read.
Data types
- Citizen data
- Case notes
- Plans and goals
- Documents and attachments
- Staff and departments
- Medication details
Exactly what can be extracted depends on what your current supplier makes available. That becomes clear during the mapping, before you commit to anything.
Formats
- CSV and Excel
- The usual export, and the one that gives the cleanest import.
- Record history that only exists as documents is added as attachments.
- Database export
- Where the supplier gives access to the raw data.
The transfer takes place over encrypted connections. The framework is the data processing agreement, and access to data within your organisation is controlled by role and by department.
Training
Staff need to know it from day one
A system switch rarely fails on data. It fails when the evening shift cannot find what they used to find. That is why training is a hands-on workshop, where staff work in the system themselves with help right beside them.

Shall we take a look at your current system?
A conversation about what you have today, and what can realistically come across. No preparation needed, and you have not bought anything afterwards.
